Hey Dave,
Definitely running around and organizing an event for everyone is a lot of work itself….. to risk it at a $ lost is wrong. Your time and effort and many others not even considered. I been to the first two M&G and it was basically a meeting spot at the parking and then we split up on the lake. Walkers stayed with walkers and guys on machines ventured out together. We did stay closer as a group up in Windermere and guys bought out the BBQ and tossed a bunch of game meat on…. That to me was the funnest of all M&G. 40+ members all within 200-300 yards from one another. (Does not matter where you turn to pee…. A few members going to see!)…. Cannot get anymore personal than that!
Over the years this forum has grown pretty big. We lost some but gain much more.
Dave, you were the first member I teamed up with to venture on an ice fishing trip…. We then also river fished after that as well. If all members are like you…. My wife would of left me by now as I’ll probably end up fishing every day! You have gone way beyond as a member of this board with your kindness and knowledge shared to many.
I think taking e-transfer in advance is the way to prevent taking a lost. No one can control Mother Nature. And it would not be fair for you or anyone to invest that time and effort for those who look at it as…. “I’ll see in the morning” kinda deal.
Set a place and date and a deadline to buy the ticket to the meet and greet. My suggestion is do this all in 7-9 days in advance to the day of the meet and greet. You will not please all but we somewhat can see better firm commitments and slightly see if weather coming will be manageable.

Agree. You shouldn't spend all your time to organize something like this only to lose money...not right. I would say charge what you think would keep you on the positive side and if there is money left over, use it for next year, add more prizes (can be even cash prizes), pay for your gas, etc., etc. - whatever YOU decide you want to do with it. That's more than fair for your time and effort. You can still have people show up in the morning day-of but that would just be an extra bonus to add to the fun and to help with costs, etc. but a certain minimum should be set to make sure you won't run into the red.
